Guide for Student Tenants


We endeavour to fit in with your viewing requests should that be weekends or evenings but please bear in mind we must give existing tenants 24hrs clear notice as we have to respect their privacy and we will restrict viewings to no more than two groups at a time. Courtesy transport to and from viewings can be provided subject to vehicle availability. We must stress the importance that full groups must be available to visit the property.

To Secure the property

Having chosen the property you wish to let a non returnable holding fee of £100.00 cash will be taken. Upon signing the tenancy agreement the holding fee will be used as part payment of the bond.

Signing AST Agreement

The Assured Shorthold Tenancy Agreement is to be signed within seven days of receipt of the holding fee. A further seven days will then be allowed for your respective University Accommodation Officer to check the agreement. The bond is to be paid by BACS in full when the tenancy agreement is signed. The first months rent payment is to be paid into our bank account by BACS and must be received as cleared funds seven days before the beginning of the tenancy. Please note we do not accept cheques. A standing order can be set up if preferred for future payments.


The bond will be lodged with the Deposit Protection Service. A bond of £300.00 per student tenant will be payable at the beginning of the tenancy (from which the holding fee of £100.00 will be deducted).

A lead tenant will be nominated for the property and will be responsible for paying the bond back to each of the other tenants at the end of the tenancy. The lead tenant will be given a unique repayment ID number which they must keep safe and will need when applying for the bond to be returned.

Rental payments

The first payment should be in cleared funds in our bank account one week prior to the commencement of the tenancy.

The rental payments will be structured to coincide with student loan payments, but can be tailored to suit an individuals requirements if necessary, we will be flexible.

Future payments of rent can be made by BACS payment direct to our account or by standing order form.

Rental excludes:

Please be aware the rental of our York student houses does not include Council Tax, Water & sewerage rates, gas, electricity, TV license, broadband, phone line rental.

Council Tax

Students are exempt from paying Council Tax and need to fill in an exemption form which can be done online. The most efficient way to deal with this is to visit this page on the City of York Council website.


We will notify all utility companies of your moving in date along with your names and meter readings and it will be your responsibility to open an account with the providers.

Moving in

Upon commencement of the tenancy you will be greeted by a company representative at the property. You will be provided with a welcome letter that contains all contact details and relevant information with reference to your property.

You will be issued with one set of keys per tenant.

The meter readings will be taken and verified.

You will be provided with a detailed inventory stating the condition of the property for each of you to sign and each page to be initialled by every tenant and returned to our office within twenty eight days.


All repairs are carried out by our own in house maintenance team, all repair request are dealt with as follows-:

Priority One – Emergency repairs
Any repairs required to avoid a danger to health, risk to the safety of residents or serious damage to buildings or residents belongings within 24 hours.

Priority Two – Urgent Repairs
Repairs to defects which materially affect the comfort of convenience of the residents – within five working days.

Priority Three – Non Urgent day to day repairs
General repairs not falling within the above categories: within 28 working days.

Whatever the problem we will fix it as fast as we possibly can.

End of Tenancy

The tenancy must be vacated by 12 noon on the day the agreement expires.

We will conduct a pre-inspection of the property approximately a week prior to vacating the property. This enables us to give guidance as to the standards required to achieve a positive handover of the property. On the day of leaving, the property will be finally inspected, keys collected, meter readings taken and verified and upon the property being in a satisfactory condition we will contact the Deposit Protection Service to release the bond. A forwarding address will be required for the lead tenant at this stage.
